Board Meeting – May 28, 2024
Mission: “The board’s responsibility to the community is to conduct operations of the building in a responsible and business-like manner.”
Bryan Bell opened the meeting at 7:00 p.m.

The April 2024 minutes were read/ Motion by Woody Stitt to accept minutes. Seconded by Linda Wilbur. Passed.

We made approximately $1000 more this year for the car show than last year.

COMMITTEE REPORTS:
Fundraising - Janice Stroud
City Wide garage sale is June 22. Janice said her son would haul off non-trash items to Helping Hands or somewhere. We could have a table inside and possibly sell concessions. We could ask for donations from board members and Peck residents who don’t want to do their own sale. We could also offer spots for others to do garage sales for rental for $20.
Lucretia - Why can’t we have it outside?
Janice will need to fill out an event form for this. Sam made a motion to have a space for the garage sale on June 21 - 22. Aleta seconded. Passed.
Flea Market - Janice would like to have 100 vendors. Tabled until June. Possible date would be in October.
Car Show - David Boller
Thank you to everyone who volunteered. We got lots of positive feedback from the car owners. Officially we had 116 entries. I saw 6-8 who came for a while, then left. We need a way to police that so they pay registration. Mother Nature was not kind to us about the spectator parking, but I have nothing negative to say about the show. We would like to set next year’s date for May 17, 2025.
If we grow at all, we will need more volunteers next year.
Linda would like to thank the Bollers for their leadership in this event.
Thank you to AJ Customs for pulling everyone out of the mud. We also need to send a thank you to Dale Hendry for letting volunteers park on his property.
Feedback suggestions - Have car show shirts. Bear suggested we have the blanks and have the shirts here to do on demand.
Improvements - Better process at registration, better parking for spectators, not having to be present to win raffles.
Things they liked - Lots of cool cars, good food, nice weather.
Aleta - I am surprised at how many spectators we have, That’s not normal at car shows.
Jess Stitt - This is an event to support the center and it is advertised. People have heard about all the changes and this is an opportunity to come see what we’ve done.
David - Also, we get a lot of prizes from surrounding towns that also pulls in more people.
Roxana - I agree that people should not have to be present to win. I think we lost revenue from people who only attended in the morning and did not plan to be present in the afternoon. Next year, we should have phone numbers on the tickets. I would be willing to call those who are not present and arrange a time to be at the center for people to pick up their prizes.
Calendar - Bryan Bell – We need to post our availability for rentals. I was surprised that we didn’t have rentals for high school graduations. The car show was a good time for people in the area to see our improvements and hopefully, that will spark more interest in renting the building.
Old Business
Woody wanted to praise Sam and Bryan for the gazebo. It looks great and was used at the car show by a lot of people.
Bryan - We had to replumb everything in the restrooms because a pipe broke in the wall.
Our next project will be to shoot the back end and driveway area for elevations and figure out how to grade and drain that. Right now water just stands. AJ Miranda has offered to help with this project.
Lucretia has a meeting next Tuesday with someone who works with a non-profit that might help us figure out our mess. If that doesn’t work, we will have to hire an attorney to help us with that.
New Business
Dhon Stewart 316-640-4355, Jesse Maley, and Debbie Cox were present to talk about holding a Trapping Safety class in the fall. The state does not require a class for a trapping license. It is all done online and on your own. This would not be a class for certification, but a class for information. This class would be offered to the public for free. The date would be August 10, 9-2. Sam motioned that we offer the center to this project for free. Woody seconded. Passed. Bryan said we can offer a lunch menu.
Bear offered to help do an online sign-up that would gather names and contact info.
Bear Stitt proposed a Bingo Night for a fundraiser. August 3. 5:30 - 9:00 P.M. (Fundraiser form attached). Discussion: Janice - We need to check with Sumner County about gambling. Bear - I have checked that. If you raise under $25,000. there is no problem with it. Aleta - I think it’s a great idea. I’ve been wanting to do some kind of game night. We’ve had lots of fundraisers, I would like to see us do more just to get the community together. Motion to approve - Julie Bell, seconded by Sam Bell. Passed.
Sam purchased a TV and donated it to the center to hang in the large room. Aleta Boller has a wall mount that can be donated to the center.
Bryan discussed purchasing universal minisplits for the lobby/restroom that will work with the ductwork.. It will cut our costs drastically and will provide heat/ac in those areas. It will run us around $3400-3500 for 1-½ ton unit. We will not buy it until we figure out our attorney needs. AJ offered wiring if we need it. Motion to purchase - Woody Stitt, David Boller seconded. Passed.
We are also thinking about closing off a portion of the lobby near the back door to make a storage area. Once that is done, we can clean out the second classroom and make it into a rentable room. We are thinking making it a nicer room for banquets, meetings, wedding venues, etc.
Hunter Safety Education will be August 17-18. The building will be offered free as a community service. We will offer to provide lunches for a reasonable price. Last year there was a good turn-out and it should be even larger this year.
Roxana added Lucretia Smith and Jess Stitt to the admin on our Facebook page so they can help with posts and events.
