Board Meeting – October 28, 2024
Mission: “The board’s responsibility to the community is to conduct operations of the building in a responsible and business-like manner.”
Bryan Bell opened the meeting at 7:05 p.m.
Officers in attendance: Bryan Bell, Roxana Stitt, David Boller, Linda Wilbur, Lucretia Smith.
Absent: Aleta Boller, Janice Stroud

The September 2024 minutes were read. Motion by Woody Stitt to accept minutes. Seconded by Julie Bell. Passed.

Soup Supper - November 9, 2024 - Julie Bell & Jess Stitt
Jess - Updates on signups - I combined online and paper signups. We don’t have anyone signed up for chicken noodle.
Julie - Jessica said she will do chicken noodle.
Jess - I have someone who said she could do it, or if it isn’t needed she will provide the crackers. I talked with Robert Freeman who will do the garlic soup, but also wanted to do venison vegetable soup. Anne Lasey has signed up for chicken tortilla, Ladena Laha signed up for ham and beans, and Andy Kraft signed up for chili. We still need more donations of cakes and cookies.
Julie - We also need the 5 gallon water jugs so we can use the electric dispensers. We bought three of them for the community center. They sit on top and through bluetooth, it dispenses. There is no drip or mess. They are USB rechargeable.
We need someone to sign up for dessert plates. Jon and Kim offered to get the dessert plates.
Linda Wilbur offered to buy crackers, both saltines and oysters.
If you think people haven’t signed up yet, please send them a text message or call so we know what to expect.
Julie - We do have a couple of teens that will be coming to help with serving and clean up.
Jess - I have Lucretia and Julie on setup. I have 3 of 4 slots filled for servers. I have no one in the 6:30 - 8:00 slot. Woody offered to help. Cashier - Covered. We still need a 6:30 - 8:00 floater. We will need more people for clean up.
We need to send another email for volunteers.
Lucretia - Unfortunately, I will not be here. I will need someone to fill my spots.
We have been posting different things on FB trying to stir up interest. We also have a place that people could pre-order tickets.
Julie - Someone tore down the poster at the post office. I will replace it tonight.
Woody - I have put some up at Clearwater and will put more.
Jess - It also needs to be shared through the Haysville, Belle Plaine, Mulvane and Clearwater FB groups.
Jess - We plan to have music in the background. We have a lovely speaker donated by Woody Stitt. It is an All-in-one speaker that will sync to a phone, has a microphone, lights, wheels, and a stand. We can use it at many future events.
Christmas Fair - Janice Stroud
Janice was not present for a report or to submit the event request paperwork..
Old Business
We are purchasing the mini splits next week from Lowe’s. Bryan will bring his daughter to get the military discount. It takes 1-½ to 2 weeks to arrive. We would like to install it before winter to get rid of our big gas bill.
The outlet arm parts are here and Bryan will be working on it and have it ready to go before the soup supper. It will set on a spindle on the kitchen cabinets and swing out to set an outlet box with 8 outlets on the serving table. It’s all done except the plate to be welded on it. It will be on a totally separate breaker in the electric box.
We are rented every weekend next month. Would anyone be interested in helping clean the building once or twice next month? If interested, please let us know.
New Business
We will be attending the PID meeting in January. Bryan had to call because the alarm keeps going off. We aren’t sure what’s exactly wrong with it. We want to discuss fixing it right or doing something to make it work. The guy we call complained that it never broke down before the new board came on. Bryan reminded the man that we are now renting it out almost weekly. According to the guy who came to fix it last time, it is very low-end equipment (junk). Because of our location, we really shouldn’t even need it because of the slope. It should just flow to the station at Boudreax’s. It should have been a gravity flow line.
Woody - Paint is being pulled off the wall from tape being used.
Bryan - We would like to amend our rental agreement that anyone using tape will automatically forfeit their $100 deposit. And nothing can be put on the south (television) wall. You can see where it happened on the front door and on the wall next to the television.
Julie moved that we update the rental agreement this month; Jess Stitt seconded. Unanimously passed.
Woody - so what will people use to hang decorations?
Bryan - They can use command strips or poster gum.
Woody - Maybe people should discuss with Bryan how they want to decorate, so he can remind them of this rule.
Kim - Maybe a cork board on the wall to hang things on would be nice.
David - They also make long thin strips of cork.
Bryan - We can look into the cork items and see what we can do.
Miscellaneous Business
Jess - Could we think about having another bingo in January or early February?
Bryan - Yes.
Bryan - IF we have the money, we would like to patch the floor then get the vinyl wood floor that snaps together. It would be about $4,500 to do the banquet room. We would like to do it before the end of the year. Hopefully, we could have a work day and get some young guys to help. It is an easy floor to clean and mop.
Lucretia - Are we still looking at getting rid of the benches?
Bryan - They are handy some times, but not at others. We’re not sure what to do with them. They have been used at retirement dinners, the ice cream social, dances. We’ve talked about getting a storage unit that we could use if we need to get them out of the room.
